Mega Music DJ’s Terms and Conditions

  1. Booking details

1.1          The quotation provided by Mega Music DJ’s is valid for 14 Days. We cannot guarantee that the date as stated and quoted for will be available after the 14 Days.

1.2          To book the date as quoted, a signed quotation and terms and condition is required. The client needs to phone or e-mail Mega Music DJ’s prior to sending the documents to confirm whether the date is still available.

1.3          50% Deposit to the minimum of R2000 needs to be paid to secure the booking (EFT and Cash is accepted, no cheques will be accepted) the outstanding amount as quoted, will be required and due and payable 7days prior to the date of the Function.

1.4          If the full amount is not payed as stated in paragraph 1.3, Mega Music DJ’s will not be attending the function, and The Client will forfeit the full deposit amount.

1.5          Paying a booking fee for your event or function is a 100% binding guarantee of contract. Any non-payment could allow us to change our work schedule without prior notice.

1.6          The Client shall ensure that all details given of the venue are correct and if Mega Music DJ’s inspects the venue & finds any differences Mega Music DJ’s will report to the client to resolve this matter.

1.7         There will be adequate set up time available usually 3 Hours before the start time of the event and 60 minutes after the event to break the set down. The Client should indicate what access is available, stairs, lifts, Car parking etc.

1.8          The Client and Mega Music DJ’s both confirm that there is no third party interest on the booking and no previous bookings of these dates for this event.

 

  1. Additional

2.1          If any additional equipment shall be added extra by the client, to the items quoted, an additional invoice will be made out with all the items as per requested.

2.2          The additional items as per Invoice need to be paid immediately before the date of the function or in cash on the function date before the function starts.

2.3          We will setup at the designated Space provide by The Client or the venue (According to the Floor Plan).

2.4          Mega Music DJ’s rates for after 00H00 or 6 hours (reception) will be charged at R800.00 per hour. An outstanding invoice will be sent to The Client after the function. The Client is require to settle the invoice within 48 Hours form the function date.

2.5          Full rates will apply for after hours, even if the full hour is not used and stop prior to the hour.

2.6          Accommodation for the crew members must be arranged by the client, if the venue is 100km and further from our offices. The accommodation needs to be paid by the client and details to be sent 7 days prior to the function date.

2.7          50 km free traveling is included in the Mega Music DJ’s packages, if the travelling exceeds 50 km, travelling costs will be charged at R5.00 per km, plus any Toll fees.

2.8          Mega Music DJ’s will include flight costs, transport and accommodation fees (If not arranged by The Client), that needs to be paid in full by the client for functions and pre-meetings that is too far to drive.

                                                                                                                                   

  1. Videography

3.1          By booking the videography package, a deposit of 50% is required. This deposit is separate from the Mega Music DJ’s packages deposit.

3.2          The final edited video will approximately be 8 to 10 minutes (Highlight of the wedding). This includes a USB with the final video. The raw footage of the function will not be given to The Client because the Videographer only uses the best Videography footage for the final video.

3.3          Final payment of the video must be made within 48 hours after collecting the final edited video from our offices.

3.4          If the Videography packages are booked, please make provision for the refreshments and food for the videographers.

 

  1. Cancellations

4.1          Mega Music DJ’s will be holding your date exclusively for you and will turn away all other work if we are fully booked.  The potential loss of work in the event of a cancellation is real and tangible therefore Mega Music DJ’s will charge a cancellation fee.  Cancellations must be made in writing or by e-mail.  No telephone cancellations can be accepted.

4.2          If the Client cancels prior to the event the cancellation fee is 100% of the balance on the invoice or full amount paid to Mega Music DJ’s.

4.3          Mega Music DJ’s will not refund in the case of natural disaster, bad weather, crisis or power cuts or if we get instructed to strike our equipment by authorities.

4.4          Mega Music DJ’s will try to fulfil its obligations in the events of unforeseen circumstances by any other means should this be necessary.

4.5          Outdoor Functions, in the event that rain is forecast on the function date and the function is being stopped or cancelled after the crew has setup, Mega Music DJ’s will not refund.

4.6          We will refund the client the deposit/full amount in the event of car accident, if we are not able to setup the equipment on the function date.

4.7          We will refund the client the deposit/full amount in the event of crew illness and death and we are not able to setup the equipment on the function date.

 

  1. Conduct

5.1          It is the Client’s responsibility to ensure that all guests conduct themselves in a proper manner at all times. The Client must be responsible for all guests and their actions.

5.2          The Client will provide adequate supervision of its guests, including children, at the venue, and will be liable for any loss of or damage to the Mega Music DJ’s equipment or personnel belongings, caused by guests attending the function.

5.3          No violent, aggressive or abusive behaviour from anyone under any circumstances will be tolerated, and Mega Music DJ’s reserves the right to terminate our services at any time if any personal safety is under threat. Mega Music DJ’s does not take responsibility for ejecting any unwanted persons from any venue. The Client will be advised of any problems arising in this respect with any guests.

5.4          In the event of a minors function there must be the legal ratio of responsible persons to minors.

5.5          Mega Music DJ’s will act in a fully responsible attitude at all times, during his/hers attendance to the venue, it will set up and run as requested by The Client unless the legal requirement is different which will be pointed out and stated.

5.6          Mega Music DJ will be dressed with the Mega Music DJ company uniform.

5.7          We will provide and choose the crew according to your function.

 

  1. Damages and Security

6.1          The Client will be responsible for the safety and security of any theft of items of Mega Music DJ’s.

6.2          Mega Music DJ is not liable for any damage on the venue; any potential hazard must be pointed out by the client or the venue staff at the time of set-up.

6.3          The Client is also responsible for any damage to Mega Music DJ equipment caused by any person at the event. The Client will be charged for the full cost of any repairs required. The Client will be advised of any damage as soon as it is caused.

 

  1. Health and Safety

7.1          Mega Music DJ will not be held responsible for any injuries/ death occurred if the guest at your function touches, hang or bump any of the equipment or wires.

7.2          If the venue request that we do not use duct tape (Black) on their floor, to cover the wires for safety purpose, the venue will be reliable if any injuries occurred.

7.3          In the event that Mega Music DJ’s needs to arrange for an Electrical Certificate (3-Phase connection) or Structural Certificate on the day of the function that is not pre-arranged, the client will be responsible for the invoice from the Electrical engineer or Structural engineer. We will normally include any certificates within our invoice to the client.

7.4          In the event of fire, flooding, public disturbance, terrorist activity or any other threat to the public, Mega Music DJ’s will not be responsible to help in any way or evacuate any venue or building where he is present and / or working within, unless the fire regulations for the venue specify otherwise. This would usually incur a vocal announcement.

 

  1. The Venue

8.1          The Client and Venue will allow suitable time for the installation and dismantling, and removal of equipment (minimum of 3 hours before and one hour after).  The Client and Venue also ensures that safe and adequate power is available. Mega Music DJ’s will ensure that any equipment that requires connection to a power source is electrically safe. If the power supply is inadequate, Mega Music DJ’s may reduce equipment accordingly.

8.2          In the event that Mega Music DJ’s must setup a day before the function date and dismantling a day after the function, The Client and Venue will be responsible for any theft or damages to our equipment. The Venue must have security systems in place for our equipment to be safe.

8.3          The Client must ensure that there is adequate parking for Mega Music DJ’s on the day for offloading and loading of the equipment, in a safe and secure manner. Should there be items stolen during this procedure it is the responsibility of The Client.

8.4          If the performance start time is delayed due to the inability of Mega Music DJ’s to gain access to the performance area, or any other delay beyond Mega Music DJ reasonable control, Mega Music DJ will not be liable for any refund whatsoever.

8.5          If you are booking other entertainment (e.g. Band, Artists etc) as well as hiring ourselves, please consider & think about the amount of space available and where The Client is going to put the equipment. Speaker location is usually best if it is no greater than 10 metres either side from the position of the presenter.

8.6         Mega Music DJ’s also reserves the right to refuse to continue any event prior to the start should there not be sufficient floor space which would not allow the audio / lighting equipment to be assembled safely.

8.7         In the event that the equipment the The Client booked for their function cannot be fully installed at the venue, Mega Music DJ’s have the right to reduce some equipment for the setup to look professional and neat.

8.8         The Client will be responsible for the invoice from The Venue in the unlikely event that Mega Music DJ’s are charged for services rendered on their property or for after hour services. In the event that this happens The Client will be responsible for the invoice from The Venue.

 

  1. Artists, Bands, Performer ect

9.1          In the event that the Band/Artists have a technical rider we must provide them to perform on, The Client will be responsible for the invoice for all the equipment requested by the Artist, Band, Performer ect.

9.2          Sound Checks for Bands/Artists will take place after all the equipment is setup and before the function starts. No sound checks will take place during the course of the function.

 

  1. Music

10.1        Mega Music DJ’s are professionally trained to read crowds. If The Client provides us with a playlist of music to be played it will be used at the DJ’s discretion.

10.2        We will send an e-mail to The Client to setup a meeting request in the month prior to your function, if needed, to discuss all the important music. The meeting will be held at our offices 854 Barnard Street, Elarduspark between 9am and 16:00pm.

10.3        In the event that The Client cannot attend a meeting with Mega Music DJ’s a questionnaire will be sent to The Client to be completed in full. The Questionnaire must be sent back to your Sales Person no later than 7days prior to the function date. If we do not receive the Questionnaire 7 days prior to your function it is The Client’s responsibility to bring all the important music on a USB Flash drive to the function.

10.4        Any music changes by The Client made after the meeting date with Mega Music DJ’s, it must be sent 7 days prior to your function date. If we do receive changes within the 7 day period before the function it is the responsibility of The Client to bring the music on a USB Flash drive.

10.5        It is the responsibility of the client to bring all the important music on a Flash Drive to the meeting. You are more than welcome to choose from Mega Music DJ’s list of music (No Flash Drive needed).

10.6        In the event that Mega Music DJ’s need to buy any music from any online store a fee of R15.00 per song will be invoiced to the client (Or The Client must provide the music).

 

  1. Refreshments

11.1        As Mega Music DJ’s works very unsociable hours we ask if food could be supplied. Please do not offer alcoholic drinks whilst our crew are on the venues premises.

11.2        All bookings should be taken on the understanding that the venue is in possession of the necessary entertainment & liquor licenses. Mega Music DJ is not responsible if the venue is found to be in breach of the terms of their license.
